Minutes of Asha Seattle meeting on 02/18/09 Venue : RTC LWSD No. 414, Morton Johnson Room, Redmond, WA Attendees: Shailesh, Amruta, Satyajit, Prashant, Priyati, Srijan, Vibhavaree, Apoorav, Pooja, Kalpana, Palani, Ken, Poorna, Nagendra, Sameer, Frankie, Sree, Achal, Vikram, Eera, Vijay, Asha, Lakshmi
Item 1: Proposal – Screening of the movie, Barah Anna – presenter: Vibhavaree - Proposal to do a screening of this film across multiple Asha chapters across US - Movie will release in India on March 13, 2009 … Vibhavaree knows the film director, Raja Menon, whose background is as an ad-maker - Deals with the issue of how domestic help in India is treated (NYTimes article talks about it) - Screening proposal for Seattle and other Asha chapter locations in the US – late May 2009 - Director, Raja Menon, will be at all the Asha screenings - Apoorav presented cost benefit analysis of such a screening - For Seattle, the cost to Asha Seattle is estimated at $2,600 (including domestic travel for Raja Menon), the net earnings (revenue - expense) is estimated at $1000. - The movie might be screened at SIFF (a film fest in Seattle) which is a risk to any screening we do - Asha Seattle will pay for domestic travel to Seattle (budget < $500) - Alternative – just let SIFF do it, and partner with SIFF as co-presenter - Here is the complete ask for vote today: o Is Asha Seattle going to screen Barah Anna as the primary presenting org, knowing the current contingencies? § Movie not getting screened in SIFF or any other event in Seattle (tri-city) area prior to Asha screening. § Venue that meets cost parameters that meet Asha Seattle requirements o Two options: § EITHER: Will Asha Seattle pay for international travel if we get 5 US chapters to sign-up for screening as well? § OR: will Asha Seattle pay the director 20% of our net proceeds (from ticket sales)? Note that it does not include any donations made to Asha - Vote: 16 yes, 2 no, 5 abstain – the complete ask is approved for the team to go ahead with planning
Item 2: Coordinator updates Chapter coordinator updates – - Presenter: Palani: Geethanjali, Tamil music event which is a big Asha Seattle fundraiser, is coming up on April 4 – need volunteers. There is a meeting tomorrow 2/19 at 7pm in MSFT B50 in Redmond to discuss – please attend if you are interested - Presenter: Palani. Marathon – need additional coordinator for Seattle Marathon this year. Role involves working with Seattle Marathon, figuring out involvement in fair, getting people to run. Good opportunity to contact. If you are interested, please contact Tulika Agarwal ASAP - Presenter: Eera. All-chapter event: Secretary team is holding a monthly conference call. The theme this month is conflict resolution (Feb 28). It will be good if an Asha Seattle volunteer will attend the call - Presenter: Srijan: Asha workshop in Memorial Day weekend in Dallas Texas. Consider attending
Project coordinator updates – presenter: Vibhavaree - Welcome back Shailesh! - We hold 3-4 workshops – projects workshop coming up (Saturday March 21st). Please read and respond to announcement already emailed to Asha Seattle yahoogroup.
Item 3: PR/FR update – presenter Pooja - Pratidhwani event, Gunjan, on Sat Feb 21 in Sammamish High School, Bellevue – Asha Seattle will have a table – no fund-raising but we can do publicity
Item 4: Project coordinator update – presenter: Vibhavaree/Nagendra - Slight change to way project coordinators will work. There will now be a dedicated project coordinator for each project (one of the current 4 coords will assign themselves to each project and be the primary point of contact for project coordinator communication)
- Proposal offered to vote today is to change the minimum requirement of 3 stewards per project for all projects (for any new projects that come up) and drop it to 2 stewards per project because it is difficult to find 3 stewards for projects. This is proposed because the dedicated project coordinator will serve the role of the 3rd steward. Note that there is no proposal to apply this requirement to any older projects - Vote: 17 yes, 8 no, 6 abstain – the proposal is approved
Item 5: Publish with Purpose – presenter: Kalpana - Content-based ads from Microsoft AdCenter on publisher’s page who signs up on for PwP - Publisher has some control to disallow some ads to show up on the page - Publisher can choose to donate all or part of the ad revenues from ads shown on their site to a non-profit org of their choice. Control is available on a per-page basis of what non-profit org will get the ad revenues - Ad revenue donated to a non-profit will be matched if the publisher is a Microsoft employee and this matching will be done in the Giving Campaign in late Fall - Three orgs have raised $900 in 30 days – aim is to raise a total of ˝ million dollars by end of year for all orgs that sign up - The ask to put to vote is whether Asha Seattle should be listed as a non-profit org in PwP – Vote: 9 yes, 6 no, 3 abstain - In addition, it was decided that this agenda item will be brought up again in the next meeting on the eastside (LWSD, RTC) for follow-up discussion due to the level of discussion and questions in people's minds
