PROJECT: AHEAD - Swati

  • Swati presented an Asha Berkeley project called AHEAD involved in catering to the mentally challenged and autistic children in a clubhouse.
  • Asha Berkeley doesn’t have money to completely support it.
  • 5 lakhs rupees for complete the first phase, 25 children.
  • It will cater 300 children once completed.
  • She will get back to chapter with more details.

 

PROJECT: Uthnau Creche - Swati/Binay

  • The community wants to experiment with it for one year.
  • The community has chosen a few families whose both parents go out to work, and hence the girl children need some place to go for the entire day, while learning some skills.
  • This Creche would work seven days a week, provide all meals, and work with four teachers.
  • The younger kids will get the early childhood education.
  • For the older girls in the age group eight to fourteen years they will be taught various skills like kitchen gardening, leadership skills etc.
  • As a start, there will be 20 girls and 30 children.
  • There will be one person from the village there to supervise.

ORGANIZATIONAL: Project Coordination - Vibhavaree

  • Vibhavaree mentioned regarding Oct. 2005 Check sending.
  • She mentioned the necessity of going deeper with projects, more in depth site visit questionnaires.
  • Qs ready for two projects questionnaires.
  • She talked about the proposal of forming project steward teams.

 

 ORGANIZATIONAL: Asha Wide policy changes - Bash/Sree

  • Bash and Sri discussed the fraud case in London for which Asha was contacted (though neither Asha nor any volunteers are directly involved).
  • A sensitive Asha document was found in the possession of someone who was using it for his own purposes.
  • This lead to a discussion regarding the steps necessary to ensure stricter protocols in order to avoid any such future incidents.
  • Sensitive financial documents should not be available on public domain (Asha public website, project web pages, yahoo groups etc).
  • Every project steward should maintain receipts from the projects and hand it over to treasurer team for better auditing purposes.
  • Further, we should maintain all records for 7 years per IRS requirement.
  • Asha wide is thinking of having Zonal treasurers for auditing inflow and outflow of money in chapter accounts within that zone.
  • Common receipt template has to be used for donations.
  • Checks for a particular year have to be deposited by Jan 31 of the following year. Otherwise the donor will have to be requested to reissue a new check.
  • A project steward yahoo group list has been proposed to keep track of the active stewards for sharing sensitive data.

 

 ORGANIZATIONAL: Update on issue with Royal India - Kavitha

  • Kavita provided an update on Royal India issue related to food mishap during Allgorythms concert.
  • It was decided that we should write a letter saying that we are upset, we had faced losses, our name has been damaged, but we are willing to not take any further action if Royal India agrees for the same.
