Fundraiser Meeting on Saturday, 24th May 2003 Meeting Minutes by Sudhakar The meeting was attended by: Sudhakar, Rohini, Dipali, Shankar, Himanshu, Sumathi, Uday, Amrish Garg, Kumar, Suren Kapse, Amit, Pragathi, Chidabaram, Kavitha Balakrishnan, Vinay, Sanjay. -- Full dress rehearsal on 30th May, Friday at 6pm. -- Insurance quote is $565. We need to follow up on tuis -- Core team (Suren, Kumar, Uday, Vinay) meet Jayawant on Tue evening at Kumar's home. -- Jayawant should talk to the sound person and ensure that he comes at 1:30pm. We had problems because he came late last year. This year, we should get this written in the contract this year. -- Wed/Thu we are going to check the lighting in the school On the day, volunteers are : Backstage : Suren, Kumar, Shankar, Subash Speakers : Amrish, Dipali, Srihar, Sumathi, Hansa Merchandise : Badrish, Pankaj CNJ Front door : Amit/Pragathi. (collect tix) (Dipali likes the idea of "love flowing at the front idea") Box office : Sudhakar, Shoba, MP, Pushpa Food : Rohini, Himanshu, Vikas Lobby ppl : Sridhar. We need more vols here. They talk to crowds in the lobby. Usherers : Dipali, Rohini CUrtain : VInay Sound : Uday Lights : Uday -- Shankar makes restroom signs etc. (Actually, this is big deal. There shud be signs already...) -- Sumathi/Dipali should put on the presentation a request to give feedback. -- We should keep posters in the lobby. Shankar is working on them. -- Someone( Rajesh?) should check the number of tickets sold on website. -- We need to make courtesy calls to parents to avoid last minute hiccups and also to inform parents that they are expected to buy tickets for themselves. -- We need to put flyers in mailboxes of Indian ppl around the school area. Acc. to Varsha lots of Indians are in that area. -- We should put directions on the school, outside the school. -- The meeting decided that photoes should be restricted to 3-4 pages. -- Tea : Bengali sweets will be contacted by Himanshu so that we can the container for the hot water etc. -- Pizza for kids was donated by Papa John's last year. We should contact them again this year and we should voluntarily advertise them in our brochure. -- Box office ppl : We should not be picky in making sure that the people who come have actually paid for their tickets, but not got them. It is easier to trust people. -- Lastly, a suggestion from me that was not discussed in the meeting. We should sing Jana Gana Mana at the end. Long time since I have sung it in a BIG group. Kinda miss "prayer" in my school :-) Finally, lets make the event a success! Sudhakar.
