Minutes of the meeting on Saturday, 22 May 2004. (Minutes by Parimal) In attendance were: Uday, Dipali, Sumathi, Vinay, Hansa, Subashree, Sheila, Avani, Vikas, Amit, Pragati, Amrish, Parimal, Sridhar, Mr. and Mrs. Singh The discussion centered around lessons learned and action items. Positives from Fundraiser - Nice show - Well organized - Food quality was good - International element was nice Lessons Learned from Fundraiser - Ticket prices may have been high - May might not be the best month (fall may be a better time) - Spotlights are needed - More and earlier publicity (possibly radio ads) - More focus on local areas - Face-to-face selling - Identify target audience - More volunteers are needed - Involve local Indian youth from high school - Use raffle for feedback forms (only 1 feedback form was filled out) - Food should be provided earlier Alternatives to All-Dance Program - Orchestra - Dance + orchestra - Other (dinner party, phone-a-thon) Statistics - 185 ticket stubs compared to 422 last year - Cost of auditorium, sound, lighting, and insurance: $3200 (approx.) - Net loss on food and drinks: $100 (approx.) Possible Reasons for Less Success 1. Other events (free Indian dances) 2. High ticket cost 3. People promised to come but did not show up Action Items - Send souvenirs to advertisers - Send thank-you letters to sponsors - Send checks and give certificates to choreographers - Give Uday owed money and bills - Sheila to give photos to Subashree - Subashree to send photos to India Abroad - Thank CD artist The next meeting will be on June 5, 2004.
