Minutes of the Fundraiser Meeting Held on Saturday, May 17, 2003. Minutes by Shoba Attendees: Amrish, Uday, Dipali, Shoba, Sumathi, Vinay, Subhash, Manoj. (A few other volunteers were contacted by phone). * Auditorium insurance needs to be confirmed (Amrish) * Lighting : We will ask for two spotlights. Note that we will have to pay for two operators as well, per the school's policy. * We will hold a full rehearsal on Friday May 31st. Likely to be held around 6pm. This will include the dance and the Asha presentation (with PPT slides). Shoba will help Dipali get the slides ready. During the event, Shoba will sit in the wings and advance the slides. Kumar : will you be bringing the projector for Fri and Sat nights? * Printing of the souvenir brochure : Rajesh is responsible for this. * Souvenir details: The souvenir will include a response form, which Dipali will mention during her portion of the presentation. Dipali will also print the response forms. Sudhakar will be responsible for collecting these forms during the event. We will have chocolates/candies near the feedback form collection to encourage people to fill the forms out. Vinay will bring mini pencils to distribute. Vinay needs all info by the long weekend. Amrish is getting info from Jaywant for the brochure. * Badges: Someone needs to print these (with Asha logo and volunteer's name) and then put them into the plastic holder, which can be pinned to clothing. At the end of the event, someone should collect these for re-use at future events. * Banners will be put up. We will need tape and other supplies for this. Amrish will bring a toolkit of sorts (tape, pins, etc.) * Asha merchandise: The goods have been ordered and Manoj will pick them up from the large Asha meeting (logistics of this??). Vinay will sell the mugs and t-shirts during the show. Potential prices are $8 for a mug and $10 for a t-shirt. Cost is ~$3/mug and $4/shirt. Uday will bring small bills so that we can make change for the merchandise and tickets. * Amrish is bringing tablecovers. * Rohini and her crew are in charge of decorations. * Pictures: Shoba and Sumathi will bring cameras (one SLR, one digital). * Refreshments: Himanshu and Vikas are taking care of this. * Large posters describing projects are being done by Sankar. * If anyone needs event posters, contact Kumar. * Directions to the event are on the ticket. It should be easy enough to reach the site, but Amrish may be able to get a realtor sign to put on Route 1. * Microphones: we are going with standard mics (as opposed to wireless) to help keep costs down. * Stagehands: we may need two people to work the curtains and run other backstage errands. * Sridhar has agreed to set up a table and answer any questions about projects. This will be set up with the project posters. As coordinator, he might like to try to get small table-top easels and tape pictures of project sites on them.
