Minutes of the Meeting on Saturday, May 4 -- by Sumathi Attendees : Sudhakar, Uday, Dipali, Himanshu, Amrish, Anirban, Vikas, Amit, Kumar, Asha, Susan, Nanda, Anju, Varsha, Vinay, Sumathi, Rajesh. Following was the discussion and task assignments : 1. Varsha discussed the program format with the rest of the volunteers. Kumar is coordinating with Varsha, Krishna and choreographers regarding program lighting and organization. 2. Sumathi will give a 20-minute Asha presentation during the program. 3. Kumar, Vinay and Shankar will prepare Asha content for the brochure. 4. Vinay will coordinate with Varsha and Krishna for program content. 5. Kumar will make certificates for the children participating. Himanshu and Rajesh will handle momentos. 6. Just like last year, this year too, we will NOT publish volunteer names in the brochure. 7. Amit will prepare the feedback form 8. A copy of the brochure, feedback form and donor form will be handed over to every attendee. 9. Amrish is working on the Insurance for the auditorium on May 18th. He has all the relevant papers and will submit the insurance to the school the coming week. 10. brochure ad status : The front-inside and back cover are still not taken. 11. ALL BROCHURE ADS NEED TO BECOME AVAILABLE ON OR BEFORE MAY 12th. 12. Vinay will collect and deliver all the brochure ad details to Shankar. Shankar will typeset the brochure ads and content. 13. Rajesh will get the brochures printed in his company's print shop at a heavily discounted price. 14. Dipali and Amrish will make badges for all volunteers. 15. All Posters remaining will be used during the the event, in the auditorium, lobby and cafeteria. Following were the task assignments for volunteers on May 18th : 1. Food and Soda pickup : Himanshu, Vikas and Rohini will pick up food boxes and refreshments for participants from Udupi(it has to be picked up from their big plant, located in Linden, North Jersey). They will also bring the requisite soda cans. 2. Amrish, Kumar, Sadhana, Dipali will bring ICE BOXES. Vinay will bring the ice required. 3. Kumar, Uday and others: stage decoration(put up banners etc) 4. Making packages of Brochure, feedback form and donor form : Front door assignees will also handle this. 5. Six Volunteers are assigned the task "Front door". They will let in the audience giving them the ticket stub and a package comprising of " the brochure, feedback form and donor form ". 6. Task-"Ushers" : 3-4 ushers assigned. They will stand in the aisles and guide audience to be seated. They will also need to make sure that there are not many unoccupied seats in-between. 7. Varsha will arrange for a photographer to take pictures of children's dances, so that parents themselves need not bother. 8. Anirban and Vinay will handle the selling of Asha merchandise. 9. Asha and Rajiv will sell program tickets at the Box office. 10. Sound Monitoring during the program will be done by Krishna, Mani and Anju. 11. Kumar will work with the kids doing lighting during the program. 12. Uday will be the back-stage volunteer available to take care of immediate needs of performers during the program. 13. Shankar will prepare the Arrows/directions needed to be put up in the parking lot etc. Volunteer-wise task assignment:(Floater => you are not assigned any tasks yet.) 1. Amrish : Front Door 2.
