Minutes of the meeting held on January 29, 2005 (Minutes by Amrish and Priyanka.) Attendees: Avani, Hetal (our new member), Ananya, Kumar, Sridhar, Ravi, Amrish & Priyanka Our sole purpose for this meeting was to discuss our upcoming fundraiser. Here is the plan Kumar laid out for us & the action items we decided as a group: Ways to raise money: 1. Corporate Sponsorship(s) We usually get 4-6 of these sponsorships that total anywhere from 3-5K. In the past, we've had Merrill Lynch, NuWare, Sovereign Bank, Ranbaxy & Hexaware as sponsors. We hope to target these companies, once again, for sponsorships of $500, $1000, $1500, $2000 & etc. 2. Individual Sponsorship(s) We usually raise 8-10K in this category & sell about 75-100 tickets. Our goal is to get about 50 sponsors of $125, $250, $350 & etc. 3. Souvenir Sponsorship(s) We usually raise about 2-3K in this category. 4. Tickets Our goal here is to sell 500 tickets. We will charge $15 for adults & $10 for children (under the age of 13). TOTAL: 20K-29K to raise * We will try to keep the cost of the fundraiser to $3000, about 10% of our money raised. This 10% will go towards our sound system expenses, auditorium expenses & etc. * Our event will be held at the Grovers Mill Middle School from 6-9 pm (we've chosen a smaller hall than last year). * The group that will be performing is Geetanjali. * We'll do a [short] speech in between the performances about our chapter & projects. * At the fundraiser, we'll have food that will hopefully raise about another $700. We'll also have stalls set up by individual sellers of clothes, jewelry & etc. * Venki Krishnan will be our MC. He has sincerely offered to do something creative for our fundraiser so Ravi & him will coordinate on this plan. * Our goal is to get lots of individual sponsors! * We have lower expectations with donations this time due to community members already having donated for Tsunami aftermath. Nevertheless, we hope to raise from 20K-29K. Action List: Ticket printing: Kumar will take care of this Poster design: Amrish to contact Rohini ASAP Poster printing: Dipali ->Vijay w/ K&T company Newsletter update: Uday has offered to take care of this (Ravi has offered his help) P.O Box Keys: Ravi will pick up the keys from Uday Committee to discuss our fundraiser theme: Ravi will form this committee & gather ideas Website: Ananya to update website with Asha- Princeton project updates & new members (Ravi & Priyanka can help here) Auditorium coordination: Ravi will take care of this Insurance: Amrish will handle this Asha-Princeton tri-fold: Kumar will add our charity navigator rating to this tri-fold & take care of printing these tri- folds Poster/Fliers: * Ravi has offered to be responsible for Plainsboro * Priyanka has offered to be responsible for the Route 27 area * Priyanka has offered to be responsible for mall/ Lawrenceville area * Amrish has offered to be responsible for the South Brunswick library * Sridhar & Vikas will handle the Edison area * Princeton: Ananya, Anish & Priyanka will publicize at Princeton U. * We need a volunteer to put fliers & posters around East Windsor & West Windsor- any volunteers? Newspapers/Radio: * Ravi will handle our local newspapers such as Trenton Times, Princeton Packet, Plainsboro News & etc. He will also post our fundraiser poster on sulekha.com. * Hetal (our new member) will find out about publicizing at AVS & WYBC * Avani has volunteered to look into radio stations around the area (y103.3 &EBC) * Avani has also offered to look into publicizing at newspapers such as Tiranga, Americans in NY, India Talk, Little India, India Abroad & etc. Asha 2005 Calendars: We distributed some of our remaining calendars (Sridhar will hold our remaining 13). Please try your best to sell these ASAP & take some calendars if you haven't already! Here is our distribution list so far: * Avani (already paid): 10 * Hetal: 5 * Ananya: 5 * Amrish: 4 * Kumar: 8 * Priyanka: 5 We will hold another meeting this Saturday, at 4:30 pm in the E-quad. We will be receiving a project update by Sridhar & will also continue to discuss our important fundraising plans. Please try your best to attend this meeting & share your ideas.
