Minutes of the fundraiser meeting held on 25th Jan 2003- by Sumathi

I. Following will be the guidelines to evaluate the two (Surbahaar and the
   other group suggested by Suren) performance groups:
1. Overall Quality
2. Cost of show
3. Prior experience of artists
4. Prior experience of coordinator/ compere etc
5. Extent of help with ticket sale
6. Ease to work with
7. Customizability of program for Asha purpose
8. How much do we need to be involved, for organizing of the program (can we
   concenterate completely on raising funds instead)

Each point will be assigned grades on a scale of 1-10 and will further be
weighed based on importance. That group will be selected that secures the max.
score.

Many points with Surbahaar and Suren-suggested group were incomplete. By this
weekend, Amrish has volunteered to secure all remaining info from Surbahaar
(cost, program scope etc). Some members of the fundraising team will informally
meet with the organizer of Suren-suggested group during the week. The final
decision of which group to go with, will be taken during the meeting on
saturday. (Fundraiser meeting starts at 3:30PM, 1st Feb 03, saturday).

Tentative dates of fundraiser program: 
   10th/17th/24th May


II. Finding Venue : Hansa and Kusum voluteered to checkout stage area, seating
   capacity and overall cost, by calling various auditoriums of schools in
   Plainsboro, Princeton, South Brunswick, Middlesex and mercer county colleges,
   etc. They will post their findings by wednesday. Volunteers (who have already
   been assigned) will then go visit favorable auditoriums.

III. Kumar chalked out the achievable fundraiser target(based on current market
   condition), and costs involved

	Fundraising target (total revenue): $28,500 
	Corporate sponsorships - $6,000
	Individual sponsorships  - $10,000
	Brochure ads  - $3,000
	Ticket sales - $8,000
	Food sale (net) - $1,000
	Donations on day of fundraiser : ~$500

	Expected Expenses: ($8,500)
	performing group + sound expense : $3000
	Auditorium: $2000
	Insurance: $500

	Target funds to be raised: $20,000
